GCC Library Archive Policies
Mission Statement
It is the mission of the GCC Library Archives to preserve the rich historical legacy of Glendale Community College and to share this this story with the campus and community.
Use of the Archives
In order to facilitate use of the GCC Library Archives, we have an online site that is available 24/7. This online collection contains many of the historical collections found within the physical GCC Library Archives along with a timeline that takes one on a decade-by-decade journey through the life of the college.
Additionally, people can visit the physical archives located in the GCC Library. Visitations are by appointment only. Finally, like the GCC Library, we also see the GCC Library Archives as an extension of the classroom. Therefore, we are open to collaborate with faculty and students on lessons and learning opportunities.
Important Usage Policies
- All physical items are property of the library and we are not legally able to give anything away even if we have multiple copies of an item.
- All items in the online collection are free to use. That said, if you wish to use an image or item for business or commercial purposes, you will need to contact MCCCD legal for approval.
- Due to a need to preserve archival materials for posterity, physical items can only be viewed within the library. Visits to the GCC Library Archives are by appointment only.
Collecting
The GCC Library Archives is always looking for opportunities to expand its collections of historical materials and accounts. Therefore, if you have materials you wish to donate or a history you would like to share, please send me and email and I would happy to collect either an item or historical account from you. Additionally, if you do not wish to leave an item, you can also consider scanning it or photographing it to share with us. We also offer scanning in the library if this helps. Please get in touch with a librarian for details.
Donation Policies
While we are open for donations, some notes and restrictions apply:
- Items donated should help further the mission of the GCC Library Archives, which is to tell the story of the college community
- Items donated cannot violate the privacy or confidentiality of students, community or staff
- Items donated may or may not be added to the online collection (this depends upon discretion of archivist and the historical relevance of the material). Please consult the archivist if you have questions
- Once items are donated, they become property of the GCC Library
- The GCC Library Archives reserves the right to refuse donations for any reason
- For larger donations, please call ahead
Requests to be Removed from our Digital Archives
Through the library archives, we strive to tell the story of the college by digitizing our rich collections of documents, videos, photos, etc. In doing so, we work to NOT reveal materials that would violate the privacy of students, faculty, and staff. Still, even amongst the items we do digitize, individuals may still find materials featuring or created by earlier versions of themselves they would have preferred not to have been digitized. This can include items they had written or created for student publications (such as our student newspapers or literary magazines); photos that may contain themself; their name in documents like our commencement programs, etc. If you find materials featuring or created by you in our digital archives that you would like us to remove or delete, please let us know. With a few exceptions (see below), we respect a student/staff members requests to be removed from our digital archives and will work to remove those items created by or about you.
- One exception to this, would be people, documents, or events that are integral to the history of a college without the inclusion of which, the history would be irrevocably incomplete. For example, we would not wish to remove all the photos and mentions of a college president. We would also not remove something like a commencement program if you designed the typesetting for it.
- All requests for removal need to be done by the student/staff person in question. You are not allowed to ask for the removal of other people or the documents they created. To this end, we reserve the right to ask for identification.
- In removing items developed collaboratively, we do not remove digitized documents in their entirety (for example, an entire issue of a newspaper where there are multiple writers/contributors), but will selectively cut out those materials you personally developed and no longer wish to be included in our online archives (for example, the article you had written in this newspaper).
- Logistically, the removal of items may take several business days. However, we do take requests seriously and will get to them as soon as possible.
Finally, it is important to note, these rules and policies are not comprehensive and each request is judged on a case by case basis. However, If you have any questions or would like to make a request, please reach out to the college archivist: sean.obrien@gccaz.edu
